2019-62 - Plant Exports – Christmas and New Year period arrangements

Purpose

This Industry Advice Notice (IAN) is to advise industry and Authorised Officers about arrangements for plant exports systems and services during the Christmas and New Year period.

Summary of changes and key points

  • The department's Canberra offices and some regional offices will be closed for the Christmas holiday period from Wednesday, 25 December 2019, reopening on Thursday morning, 2 January 2020.
  • The general enquiry line 1800 900 090 will be available on a limited basis over the Christmas period as follows:
    • Closed from the close of business on Tuesday, 24 December 2019 through until Thursday, 26 December 2019.
    • Open from Friday, 27 December 2019 through until Tuesday, 31 December 2019.
    • Closed on Wednesday, 01 January 2020 and reopen for normal business from Thursday, 02 January 2020 onwards.

Assessment Services Group (Exports)

  • Assessment Services Group (Exports) will be open on the following days:
    • Monday, 23 December and Tuesday, 24 December 2019
    • Friday, 27 December 2019
    • Monday, 30 December and Tuesday, 31 December 2019.
  • Assessment Services Group (Exports) will be closed on the following days:
    • Wednesday, 25 December and Thursday, 26 December 2019
    • Wednesday, 01 January 2020
  • Clients requiring Request For Permit (RFP) authorisations and/or certificate collections on the days where our offices are closed will be required to submit an overtime request to the Assessment Services Group (Exports) – Plant (NDH).
    • Clients submitting overtime requests are required to use the following email subject header:
      Client Query – OT Application; <insert day, date, time> Client: <insert client name>
  • Overtime request emails for service on 25 and 26 December 2019 (where our offices are closed), must be sent by 2pm (AEDT) on Friday, 20 December 2019.
  • Overtime request emails for service on 1 January 2020 (where our offices are closed), must be sent by 2pm (AEDT) on Tuesday 24 December 2019.

EXDOC and MICoR

  • EXDOC Plant Programs and MICoR Plants inboxes will not be monitored from close of business on Tuesday 24 December 2019 to Wednesday 1 January 2020. Any requests received during this period will be actioned from Thursday 2 January 2020.
  • If you require updates or amendments to EXDOC product coding or MICoR plants cases prior to close of business (COB) Tuesday 24 December 2019, please send your request to the relevant team within the following timeframes:
    • EXDOC coding request for plant exports must be received by close of business on Tuesday, 17 December 2019 at EXDOC Plant Programs
    • MICoR cases (amendments and new cases) for plant exports must be received by close of business on Thursday, 12 December 2019at MICoR Plants.
  • If you have enquiries relating to plant export certification (that is, not updates to EXDOC coding or MICoR cases) on Friday 27, Monday 30 or Tuesday, 31 December 2019 please contact Assessment Services Group (Exports) – Plant (NDH).

Authorised Officer services and support

  • The Authorised Officer Program (Canberra Office) will be closed from Wednesday, 25 December 2019, reopening on Thursday, 2 January 2020.
  • During this time:
    • the Plant Export Training inbox will not be checked
    • appointment and reappointment services will not be available.
  • Emails sent to the inbox during this period will be actioned when the office reopens on Thursday, 2 January 2020.
  • The Authorised Officer (AO) hotline (1800 851 305) will continue to be manned between 6am - 10 pm (AEDT) on weekdays and 6am – 6pm (AEDT) on weekends and public holidays, to ensure AOs are supported over the Christmas and New Year period.
  • Training and assessment for AOs will not be delivered between Monday, 23 December 2019 and Friday, 10 January 2020 inclusive.
