2022-67: Plant Exports – 2022-23 Christmas and New Year closure arrangements

Purpose

This Industry Advice Notice (IAN) is to advise industry stakeholders and Authorised Officers of the 2022-23 Christmas and New Year period office arrangements.

Summary of changes and key points

  • Our Canberra offices will be closed for the Christmas/New Year  period from close of business Friday, 23 December 2022, reopening on Tuesday morning, 3 January 2023.
  • The general enquiry line 1800 900 090 will be available on a limited basis over the Christmas and New Year period as follows:
    • Closed from close of business Friday, 23 December through to Tuesday, 27 December 2022
    • Open from Wednesday, 28 December to Friday, 30 December 2022
    • Closed on Monday, 2 January 2023 and reopen for normal business from Tuesday, 3 January 2023 onwards.
  • All regional offices and major ports will be available on a limited basis over the Christmas and New Year period as follows:
    • Closed from close of business Friday, 23 December through to Tuesday, 27 December 2022
    • Open from Wednesday, 28 December to Friday, 30 December 2022
    • Closed on Monday, 2 January 2023 and reopen for normal business from Tuesday, 3 January 2023 onwards.
  • Inspection appointments for the period from close of business Friday, 23 December 2022 to Monday, 2 January 2023 must be requested prior to the close of business on Tuesday, 20 December 2022.

EXDOC and Micor

  • EXDOC Plant Programs and Micor Plants inboxes will not be monitored from close of business on Friday 23 December 2022 to Monday 2 January 2023. Any requests received during this period will be actioned from Tuesday 3 January 2023.
  • If you require any updates or amendments to EXDOC product coding or Micor plant cases actioned prior to close of business Friday 23 December 2022, please send a request within the following timeframes:
    • EXDOC coding request for plant exports must be received by close of business Wednesday, 14 December 2022 at EXDOC Plant Programs.
    • Micor cases (amendments and new cases) for plant exports must be received by close of business Wednesday, 14 December 2022 at Micor Plants.
    • Plant export certification enquires (not relating to EXDOC coding or Micor case updates) between Wednesday, 28 December 2022 through until Friday 30, December 2022 please contact Assessment Services Group (Exports) – Plant (NDH)

Authorised Officer services and support

  • The Authorised Officer Program (Canberra Office) will be closed from close of business Friday, 23 December 2022, reopening on Tuesday morning, 3 January 2023.
  • During this time:
    • the Plant Exports Management Systems (PEMS) inbox will be checked daily, but only on a limited basis
    • the Plant Export Training inbox will not be checked
    • appointment and reappointment services will not be available.
  • Emails sent to the inbox during this period will be actioned when the office reopens on Tuesday, 3 January 2023.
  • The Authorised Officer (AO) hotline (1800 851 305) will continue to be manned from 6 am–10 pm (AEDT) on weekdays and 6 am–6 pm (AEDT) on weekends and public holidays, to ensure AOs are supported over the Christmas and New Year period.
  • Training and assessment for AOs will not be delivered between Monday, 19 December 2022 and Friday, 6 January 2023 inclusive.

Assessment Services Exports

  • Assessment Services Exports will be closed on the following days:
    • Monday, 26 December and Tuesday, 27 December 2022
    • Monday, 2 January 2023.
  • Assessment Services Exports will be open on the following days:
    • Wednesday, 28 December 2022 through until Friday, 30 December 2022.
  • Clients requiring Request For Permit (RFP) authorisations and/or certificate collections on the days where our offices are closed will be required to submit an overtime request to the Assessment Services Exports – Plant (NDH).
  • Clients submitting overtime requests are required to use the following email subject header:
    • Client Query – OT Application; [insert day, date, time] Client: [insert client name]
  • Overtime request emails for service on 24, 26 and 27 December 2022 (where our offices are closed), must be sent by 2pm (AEDT) on Thursday, 22 December 2022.
  • Overtime request emails for service on 2 January 2023 (where our offices are closed), must be sent by 2pm (AEDT) on Thursday, 29 December 2022.
