2018-57 - Plant Exports – Christmas and New Year period arrangements

Purpose

This Industry Advice Notice (IAN) is to advise industry and Authorised Officers about arrangements for plant exports systems and services during the Christmas and New Year period.

Summary and key points

  • The department's Canberra offices and some regional offices will be closed for the Christmas holiday period from Tuesday, 25 December 2018, reopening on Wednesday morning, 2 January 2019.
  • The general enquiry line 1800 900 090 will be available on a limited basis over the Christmas period as follows:
    • Closed from the close of business on Monday, 24 December 2018 through until Wednesday, 26 December 2018.
    • Open from Thursday, 27 December 2018 through until Monday, 31 December 2018.

Assessment Services Group (Exports)

  • Assessment Services Group (Exports) will be open on the following days:
    • Thursday, 27 December 2018
    • Friday, 28 December 2018
    • Monday, 31 December 2018.
  • Clients requiring Request For Permit (RFP) authorisations and/or certificate collections on the days where our offices are closed will be required to submit an overtime request to the Assessment Services Exports – Plant (NDH).
    • Clients submitting overtime requests are required to use the following email subject header:

      Client Query – OT Application; <insert day, date, time> Client: <insert client name>

  • Overtime request emails must be sent by 1pm (AEDT) on Friday, 21 December 2018 for service on the days where our offices are closed.

EXDOC and MICoR

  • The EXDOC Plant Programs and MICoR Plants inboxes will not be monitored from COB Monday, 24 December 2018 to Tuesday, 1 January 2019. Any requests received during this period will be actioned from Wednesday, 2 January 2019.
  • If you require updates or amendments to EXDOC product coding or MICoR plants cases prior to close of business (COB) Monday, 24 December 2018, please send your request to the relevant team within the following timeframes:
    • EXDOC coding request for plant exports must be received by COB Monday, 17 December 2018 at EXDOC Plant Programs.
    • MICoR cases (amendments and new cases) for plant exports must be received by COB Wednesday, 12 December 2018 at Micor Plants.
  • If you have enquiries relating to plant export certification (that is, not updates to EXDOC coding or MICoR cases) on Thursday 27, Friday 28 or Monday, 31 December 2018 please contact Assessment Services Exports – Plant (NDH).

Authorised Officer services and support

  • The Authorised Officer Program (Canberra Office) will be closed from Monday, 24 December 2018, reopening on Wednesday, 2 January 2019.
  • During this time:
    • the Plant Export Training inbox will not be checked
    • appointment and reappointment services will not be available.
  • Emails sent to the inbox during this period will be actioned when the office reopens on Wednesday, 2 January 2019.
  • The Authorised Officer (AO) hotline (1800 851 305) will continue to be manned (during business hours), to ensure AOs are supported over the Christmas and New Year period.
  • Training and assessment for AOs will not be delivered between Monday, 24 December 2018 and Friday, 11 January 2019 inclusive.
