Aircraft Disinsection Information (ADI) Application and Import Relationship and Access Manager (iRAM) Support

 

Video tutorials, reference material and Frequently Asked Questions are available to assist new and existing users of Aircraft Disinsection Information (ADI) application and Import Relationship and Access Manager (iRAM).

To gain Aircraft Disinsection Information (ADI) application access, your airline must have an Approved Arrangement (AA) with the department or a Compliance Agreement (CA) with New Zealand Ministry for Primary Industries (MPI). If your airline or aircraft operator has an AA or CA in place, you are able to complete the sign-up process located on the ADI log in page.

Reference material

The iRAM Airline Codes require to be used within the iRAM application are not affiliated to the International Air Transport Association (IATA) or International Civil Aviation Organization (IACO) codes. These codes are unique to ADI and are required to be used for specific scenarios within the application functionality, either by an Airline Administrator or Airline User. The most common scenarios are discussed in this Guide.

The following video tutorials are designed to guide Airline Administrators and Airline Users on the functionality of:

  • The Aircraft Disinsection Information (ADI) application and
  • The Import Relationship and Access Manager (iRAM).

This video demonstrates how an individual profile is created through the sign-up process in the Aircraft Disinsection Information (ADI) application. This is the first security process for airline administrators and airline users.

How to sign up to the Aircraft Disinsection Information (ADI) application for airline representatives and administrators.

To sign up to the ADI as an airline user or airline administrator you must click on the login button situated in the top right-hand side of the ADI application.

This will take you to the ‘Sign in’ page. To sign up a new profile you must click the ‘Sign up now’ hyperlink.

This will open a new window that allows you to ‘sign up’ to the ADI application.

You will be required to enter your business airline email address and then click on the ‘send code’ button.

This will generate a unique email verification code which will be sent to your business airline email address.

Go to your email to retrieve the code and then enter this code into the section ‘enter your email verification code’ to allow you to proceed with your sign up.

Once the verification code has been entered click verify code.

This will allow you to create a password, add the airline name you are signing up to along with your full name.

Once you have added these details scroll down the page to locate the airline you are wanting access to. Tick the box next to the relevant airline.

It is important to complete all fields to ensure your access is granted.

Once completed scroll to the bottom of the page and click create.

This will generate an email to the airline administrator. You will receive and email once the airline administrator has endorsed your security access.

This video demonstrates how an airline administrator endorses an airline user. This is part of the security process for an individual to gain access as an airline user to the airlines information portal in the Aircraft Disinsection Information (ADI) application.

How to endorse an airline user for access to the airline within the Aircraft Disinsection Information (ADI).

As the Airline administrator you will be required to endorse airline users for access to the airline within ADI.

As the airline administrator you will need to log into iRAM. Click on the login hyperlink in the top right-hand corner of the page.

Enter your email address and password and then click ‘sign in’.

To access the aircraft disinsection information system you will need to click on the application id.

This will display the airline information and the email address of who has requested access.

If there is an exclamation mark next to the email address, this is indicating this requires actioning.

To action this request, select the airline user and then select ‘View current Authorisations’.

This will open the authorisation page for the airline user of the selected airline. You will see the status is ‘awaiting approval by airline administrator’.

To action this click on ‘awaiting approval by airline administrator’. This opens the edit button.

This will allow you to update the authorization page.

This screen provides the email address, role the airline user is requesting access to, the current status and the set new status.

By clicking in the set new status, you have two options of either ‘Endorsed by airline administrator & awaiting approval by ADI Administrator’ or ‘Declined by Airline Administrator’.

To endorse the airline user click on ‘Endorsed by airline administrator & awaiting approval by ADI Administrator’ and then you will notice the ‘save’ button is highlighted.

To accept the changes click save. This completes the second security process for airline user authorisation. The next approval in this process is the ADI Administrator approval.

This video demonstrates how an existing airline administrator can change an airline user role into an airline administrator role. This enables airline administrators to increase the number of individuals affiliated to the specific airline that can manage their airline users in the Aircraft Disinsection Information (ADI) application.

How to create an airline user account into an airline administrator within the Aircraft Disinsection Information (ADI).

As the Airline administrator you will be required to endorse an airline user to become an airline administrator for the relevant airline within ADI.

As the airline administrator you will need to log into iRAM. Click on the login hyperlink in the top right-hand corner of the page.

Enter your email address and password and then click ‘sign in’.

To access the aircraft disinsection information system you will need to click on the application id.

This will display the airline information and the email address of who has requested access.

To action this request, select the airline user and then select ‘View current Authorisations’.

This will open the authorisation page for the airline user of the selected airline. You will see the status is endorsed by airline administrator & awaiting approval by ADI administrator’.

To action this click on ‘Add New Current Authorisation’. This opens the add a new authorisation details.

This will allow you to update the authorization page to airline administrator of selected airline only.

Click on the role dropdown and select airline administrator of selected airline only.

You must then click on the status and select ‘Endorsed by Airline Administrator & Awaiting approval by ADI Administrator’.

To accept the changes click save. You have now successfully endorsed the airline user to become an Airline Administrator.

This video demonstrates how to use the ‘Display Function’ column within the Aircraft Disinsection Information (ADI) application.

As an airline administrator or airline user, you will need to log into the ADI application.

On the airline page, the columns currently displayed are pre-set.

An airline administrator or airline user may change the display column by selecting the “Display Column” function.

This will open a drop-down field with all the columns that can be displayed for the airlines you have access to view.

In addition to the pre-selected columns of Airline Name, Disinsection Arrangement, Approved Applicators for Cabin and Approved Applicators Hold.

The following column heading can also be displayed, which include:

Listed Aircraft, Agreement Type, Contact Name, Contact Email and Contact Phone.

These additional columns may assist airline administrators or airline users as required.

This completes the use of search functions, airline display columns and aircraft disinsection treatments within the ADI application.

This video demonstrates how to view the history of an existing aircraft within the Aircraft Disinsection Information (ADI) application.

As an airline administrator or airline user, you will be required to view the history of an existing aircraft affiliated with your airline within the ADI application.

Before viewing the history of an aircraft, you will need to log into the ADI application.

Click on the 'Check Airline(s)' button.

This will open the Airline(s) page.

The Airline(s) page has two sections, with the first displaying the airline needing to be identified and the second being the aircraft section once an airline is selected.

You can select or search for an airline either by the Search function or by choosing the airline.

The Search function will allow you to search for the airline name or aircraft registration details.

You must apply the 'Include Aircraft Search' tick-box to include the aircraft registration in your search results.

Highlight and select the airline.

This will open the aircraft information section.

Highlight and select the aircraft.

This will open the Update an Existing Aircraft' page.

You can click on the 'View History' button to view the aircraft history.

This will display the history of the aircraft and disinsection treatments that have been applied to this aircraft.

This information can be used for auditing or verification purposes if required.

This completes viewing the history of an existing aircraft function within the ADI application.

This video demonstrates how to create a new aircraft within the Aircraft Disinsection Information (ADI) application.

Creating a new aircraft for your selected airline in ADI, must be done in conjunction with an update to an aircraft disinsection treatment that has been applied.

Airline administrators or airline users will not be able to pre-populate an aircraft into ADI before any aircraft disinsection treatment is performed for the incoming aircraft into Australia or New Zealand.

ADI administrators and MPI administrators will not be able to pre-populate an aircraft into ADI before any aircraft disinsection treatment is performed for the incoming aircraft into Australia or New Zealand.

Before adding a new aircraft, you must sign into the ADI application.

Click on the Check Airline(s) button.

This will open the airline page.

The airline page has two sections, with the first displaying the airline needing to be identified and the second being the aircraft section once an airline is selected.

You can select or search for an airline either by the search function or by choosing the airline.

The search function will allow you to search for the airline name or aircraft registration details.

Highlight and select the airline.

This will open the aircraft information section.

Click on the "Add Aircraft' button.

This will open the Add a new Aircraft page.

Each field with an asterisk must be completed, which includes.

The Aircraft Registration.

The Aircraft Type (full manufacturer and model must be entered).

And The Disinsection Treatment Method is a critical function; when choosing the aircraft disinsection treatment, the page changes with additional fields required to be completed to update your aircraft information portal.

These may include Residual Cabin Expiry Date, Residual Cabin Treatment Airport, Residual Cabin Applicator, Residual Hold Expiry Date, Residual Hold Treatment Airport and the Residual Hold Applicator.

Please note the Comments field is optional.

Once all fields are complete, scroll to the bottom of the page and click the Save Details button.

Once saved, return to the Airline page.

The aircraft you have created will now appear with all the information for that aircraft on the airline information page.

This completes the process of adding a new aircraft within ADI.

This video demonstrates how to update an existing aircraft and use of the search function within the Aircraft Disinsection Information (ADI) application.

As an Airline administrator or airline user you will be required to update an existing aircraft affiliated with your airline within the ADI application.

As an Airline administrator or airline user you will be required to update an existing aircraft affiliated with your airline within the ADI application.

As an ADI administrator will be required to update an existing aircraft within the ADI application.

As an MPI administrator you will be required to update an existing aircraft within the ADI application.

Before updating an existing aircraft, you must sign into the ADI application.

Click on the Check Airline(s) button.

This will open the airline page.

The airline page has two sections, with the first displaying the airline needing to be identified and the second being the aircraft section once an airline is selected.

You can select or search for an airline either by the search function or by choosing the airline.

The search function will allow you to search for the airline name or aircraft registration details.

You must apply the 'Include Aircraft Search' tick-box to include the aircraft registration in your search results.

Highlight and select the airline.

This will open the aircraft information section.

Click on the "Add Aircraft' button.

This will open the Add a new Aircraft page.

If you initially searched for the aircraft registration, then your aircraft will be displayed below.

If you selected the airline row, you can use the search function within the aircraft section to identify the aircraft registration affiliated with your airline that needs to be updated with new aircraft disinsection treatment information.

To update the aircraft, highlight and click the aircraft in the aircraft row.

This will open up the "Update an Existing Aircraft" page.

Each field with an asterisk must be completed, which includes.

The Aircraft Registration.

The Aircraft Type (full manufacturer and model must be entered).

The Disinsection Treatment Method is a critical function; when updating the aircraft disinsection treatment, the page changes with the current information removed and additional fields required to be completed to update your aircraft information portal.

These may include flight number, the pre-embarkation spray date, time of disinsection treatment, the cabin applicator (if different, this needs to be changed), the one-shot spray date change and the hold applicators (if different, this needs to be changed).

Please note the Comments field is optional.

Once all fields are complete, scroll to the bottom of the page and click the Save Details button.

Once saved, return to the Airline page.

The aircraft you have updated will now appear with all the updated information for that aircraft on the airline information page.

This completes the process of updating an existing aircraft within ADI.

This video demonstrates how an airline user can, by logging onto iRAM, add an additional airline to their account once they have received access to the Aircraft Disinsection Information (ADI) application. An airline administrator will be required to endorse any additions.

How to add an additional airline within the Aircraft Disinsection Information (ADI).

As the Airline user you will be required to add additional airlines within ADI.

As the airline user you will need to log into iRAM. Click on the login hyperlink in the top right-hand corner of the page.

Enter your email address and password and then click ‘sign in’.

To access the aircraft disinsection information system you will need to click on the application id.

To gain access to a new airline click on the ‘Add new authorization(s)’ button in the top right-hand corner.

This will allow you to request new access to the airline you are wishing to add.

Select the Airline Codes(s) drop down list and locate the airline you are wanting to add.

To accept the changes click save. This completes the second security process for airline user authorisation.

The next approval in this process is the Airline Administrator approval.

As the Airline administrator you will be required to decline an airline user for access to the airline within ADI.

As the airline administrator you will need to log into iRAM. Click on the login hyperlink in the top right-hand corner of the page.

Enter your email address and password and then click ‘sign in’.

To access the aircraft disinsection information system you will need to click on the application id.

This will display the airline information and the email address of who has requested access.

If there is an exclamation mark next to the email address, this is indicating this requires actioning.

To action this request, select the airline user and then select ‘View current Authorisations’.

This will open the authorisation page for the airline user of the selected airline. You will see the status is ‘awaiting approval by airline administrator’.

To action this click on ‘awaiting approval by airline administrator’. This opens the edit button.

This will allow you to update the authorization page.

This screen provides the email address, role the airline user is requesting access to, the current status and the set new status.

By clicking in the set new status, you have two options of either ‘Endorsed by airline administrator & awaiting approval by ADI Administrator’ or ‘Declined by Airline Administrator’.

To endorse the airline user click on ‘Declined by Airline Administrator’ and then you will notice the ‘save’ button is highlighted.

To accept the changes click save. You have now successfully declined access to the airline user.

This video demonstrates how an airline administrator removes an existing airline user access to their specific airline information portal within the Aircraft Disinsection Information (ADI) application. The removal of access could be due to multiple scenarios, such as the individual leaving the airline or no longer requiring ADI access.

As the Airline administrator you will be required to remove airline users no longer requiring access to ADI.

As the airline administrator you will need to log into iRAM. Click on the login hyperlink in the top right-hand corner of the page.

To access the aircraft disinsection information you will need to click on the application id.

The airline administrator will then need to find the airline user, requiring ADI access to be removed.

To action this request, select the airline user and then select ‘View current Authorisations’.

This will open the current authorisation for user page. You will see the status for the user is “endorsed by airline administrator and approved by ADI administrator”.

To action this click on ‘endorsed by airline administrator and approved by ADI administrator’ status. This activates the edit button.

This will allow you to update the authorization page.

This screen provides the email address, role the airline user is active for, the current status, and the set new status.

By clicking in the set new status, the only option available will be “declined by airline administrator”.

To remove the airline users access, click on ‘Declined by Airline Administrator’ The ‘save’ button will become activated.

To accept the changes click save. You have now successfully removed access for the selected airline user within the ADI airline information portal.

Frequently Asked Questions

I have been locked out of ADI for entering the incorrect password – what do I do now?

Airline and aircraft operator users are able to use the self-service facility on the log in page in ADI to reset their user password online.

Can a third-party treatment provider gain access to my airlines ADI information portal?

Yes, however the third party treatment provider must be affiliated to your airline through the Approved Arrangement (Contract of Service) with the department or a Compliance Agreement with MPI.

What are some of the security measures that in place to gain access to ADI?

  1. A proper business email address should include your airline, aircraft operator or third-party treatment provider domain name.
  2. The business email address must also be personalised where possible (e.g. john.citizen@airlines.com). If this is not possible, please contact Conveyance.Aircraft@aff.gov.au for more assistance.
  3. Your business email address is active.
  4. Endorsement is required from an Airline Administrator for each specific airline you have applied to gain access.
  5. Approval is required from an ADI Administrator to complete the security measures in place for access to the ADI.

How do I set up my initial Airline Administrator role within the ADI application?

  1. Identify an individual within your airline or aircraft operator to become your first Airline Administrator. Then have them:
  2. Complete the ADI application sign up process. You need to be a registered ADI user to become an Administrator for a particular airline.
  3. Contact Conveyance.Aircraft@aff.gov.au to advise that they will undertake the role of the Airline Administrator for your airline. To facilitate locating your account to approve within iRAM, please include “username / email” for the ADI administrator.
  4. Once access is approved, the Airline Administrator can commence endorsing airline users including additional Airline Administrators, giving your airline or aircraft operator multiple individuals who can conduct this role.

Airline Administrators are encouraged to regularly log on to iRAM and check for any outstanding endorsements that may be required for their airline. This will ensure the system remains up to date for your airline.

Should an airline or aircraft operator have multiple Airline Administrator roles?

Airlines are encouraged to nominate more than one Airline Administrator. It is recommended airlines have an Airline Administrator who can endorse users in each departing international airport.

What happens if I do not update ADI?

If you do not update ADI, a biosecurity officer will be required to meet your aircraft to verify disinsection has taken place and has been conducted correctly. The biosecurity officer will do this by checking the cans used, and the completed certificates. This is chargeable for arrivals into Australia and will result in disembarkation delays in both Australia and New Zealand.

Why does an Airline Administrator only have access to one airline within ADI?

The main role of an Airline Administrator is to manage user accounts and authenticate user access to the ADI for your airline of employment. An individual can only be the Administrator for one airline, although an airline might have multiple administrators.
